At Autorekry Oy, we are committed to complying with the EU's General Data Protection Regulation and other privacy legislation, and to processing your personal data in accordance with good data management practices.

This privacy policy will help you understand what personal data Autorekry collects about you, why and how we use the personal data we have. In addition, you will be informed about your rights as a data subject and how you can exercise them.

WHAT PERSONAL DATA WE PROCESS

We primarily obtain the personal data we process from you directly, by collecting information about what you enter into our system or use Autorekry's services. We also obtain personal data from external sources, such as partners or service providers.

We collect your personal data when you register as an applicant, create a CV using our generator, use our services, participate in events organized by us, or otherwise interact with us by submitting a contact request, subscribing to our newsletter, or registering as a user of the service.

You submit a job application through a service or other channel, and people add their personal information to the service, either themselves or using a third party like Facebook or LinkedIn.

You use the service to contact our staff, and they add their personal information either themselves or by using a third party, such as Facebook or LinkedIn.

You are providing personally identifiable information in the chat service (a website using the service), and this information is material to the search process.
We collect data from third parties, such as Facebook and LinkedIn, as well as other public sources. This is called sourcing for potential job candidates, and it can be done manually by our employees or automatically by our service.

In some cases, our current employees may recommend potential job applicants. These employees add the personal data of such potential applicants to the service. In such cases, the potential job applicant is considered a user within the scope of this privacy policy, and they will be informed about data processing.

Personal data we collect and process

Personal data collected through the service may be used for identifying individuals through names, email addresses, images and videos, Facebook and LinkedIn account information, answers to questions presented in the recruitment process, titles, education, and other information provided by users or other parties through the service. Only information relevant to the recruitment process will be collected and processed.

Personal data you provide or that we collect from your behavior, basic information such as:

Information available elsewhere

We obtain information from private registry services, other service providers, and official registers, such as the Population Register Centre, Bisnode, and Asiakastieto. If entering into an agreement with you requires an external credit check, we will check your credit information before concluding the agreement.

What information do you need?

The purpose of collecting and processing personal data is to manage recruitment. Our legitimate interest, which is the legal basis for processing personal data, simplifies and facilitates recruitment.

Personal data processed for overall analysis or market research is always anonymized. Such personal data cannot be used to identify a specific user. Therefore, such data is not considered personal data.

Marketing and communications

We process personal data for marketing purposes and to create marketing target groups. We use the data to offer our own products and services, for direct marketing, and for customer satisfaction surveys. Personal data allows us to personalize and target offers that we believe will be of interest to you.

We also use your personal data for customer communication. We may send you announcements and notifications regarding our products and services.

The processing of your personal data is based either on your express consent or, if you are already an Autorekry customer, on Autorekry's legitimate interest in managing and maintaining the customer relationship. When marketing is based on your consent, you can withdraw your consent at any time. In the case of electronic direct marketing, you can withdraw your consent via the "Unsubscribe" link at the end of the message you receive.

We purchase advertising space online for ads that can be displayed on third-party ad networks. Advertising is purchased both through targeting groups pre-defined by third parties and through targeting groups defined by Autorekry itself. Ads can also be targeted using cookies based on usage of Autorekry's websites. Marketing conducted in this manner is also based on Autorekry's aforementioned legitimate interest.

Service and business development

We use your personal data based on legitimate interest and customer relationship for the development and management of processes for our products, services, customer service, sales, and marketing.

We process your personal data, for example, to process customer feedback and complaints we receive. Feedback from customer satisfaction surveys is also used to help develop services and business.

Personal data retention and transfers

Personal data collected through the service are stored and processed within the EU/EEA, or in a third country where the European Commission has deemed the level of data protection to be adequate. They may also be processed by subcontractors who have entered into binding agreements that fully comply with the legal basis for transferring data to third countries (Privacy Shield arrangements), or other subcontractors who have implemented adequate safeguards to protect the rights of data subjects whose data is transferred. How long is personal data processed

Unless users object in writing to the processing of their personal data, we will retain and process personal data for as long as necessary to fulfill the purposes stated above. Job applicants (users) may also be of interest to us for future recruitment, and therefore we may retain users' personal data until it is no longer relevant for potential future recruitment. If users do not want their personal data processed for this purpose (future recruitment), please contact us using the contact details provided at the beginning.

USER RIGHTS

Users have the right to request information about the personal data we process by submitting a written request to the data controller. Users are entitled to receive one (1) copy of their personal data free of charge. For subsequent copies, the data controller has the right to charge a reasonable fee based on the administrative costs incurred by the request.

Users have the right to have incorrect personal data rectified by requesting it in writing through the contact information provided.

Users have the right to request the erasure of data or the restriction of processing, as well as the right to object to processing based on legitimate interest in certain circumstances.

Users have the right to withdraw all consents given to the data controller for the processing of their data. However, exercising this right may mean that users cannot apply for a specific job or otherwise use the service.

Users have the right to data portability in certain circumstances, meaning they can obtain their personal data and transmit it to another controller, as long as it does not adversely affect the rights and freedoms of others.

Users have the right to lodge a complaint with a supervisory authority regarding the processing of their personal data if they believe that the processing of personal data is contrary to data protection legislation.

Security

Privacy is of paramount importance to us, and we therefore work diligently to ensure that users' personal data is handled with the utmost care. We take all reasonable measures to ensure that the personal data of users and other individuals is processed securely and in accordance with this privacy policy and the EU General Data Protection Regulation.

However, transferring information over the internet and mobile networks always carries some level of risk, so all transfers are made at the risk of the person transferring the data. It is important that users also bear responsibility for ensuring their data is secure. It is up to users to ensure that their login details remain confidential.

Transfer of personal data to a third party

We do not sell or otherwise transfer users' personal data to third parties.

We may transfer users' personal data

– to our suppliers and subcontractors, who act as processors and subcontracting processors in accordance with our instructions to provide the service

We only transfer users' personal data to third parties that we trust. We cooperate with personal data processors categorized as follows: IT Group Finland Oy (Developit) as a service provider, Laura Rekrytointi Oy as a service provider, Talentwise OY as a service provider, AarniNet Oy as a service provider, server and web hosting companies, email companies, video management companies, data search companies, analytics service companies, and other companies whose operations are related to service provision.

Combined information (non-personally identifiable information)

We may share aggregated data with third parties. In such cases, the aggregated data is compiled from data collected through the service and may consist, for example, of statistics concerning web traffic or the geographical location of service users. Aggregated data does not contain any information that can be linked to individual persons, and therefore it is not personal data.

CHANGES

We reserve the right to make changes or additions to our privacy policy at any time. The latest version of the privacy policy will always be available through the service. Users will be considered informed of a new version when they have either received an email informing them of the new version (in which case, the email addresses provided by the users when using the service will be used) or when users are otherwise notified of the new privacy policy.
